Continuing with our theme that we started last month of reusing slides rather than recreating them, this time, we’ll look at copying slides from one presentation to another.

Whilst we’ll be using a fairly straightforward (& hopefully familiar) method to copy & paste slides from one presentation into another, there are a couple of things to think about which will make things easier.

Get the layout right

The first is to open both PowerPoint Presentations, both the one that you want to copy INTO and the one that you want to copy FROM (this is why this method may be more suitable for smaller presentations depending on your computer’s processing capability).

Then, in one of the presentations, select VIEW>Arrange All

This will show both of your presentations side by side

Set the Presentation View to make copying straightforward.

The next thing to do is to change the presentation view for each of the slide decks from “Normal” to “Slide Sorter” – the quickest way to do this is by using the icons in the bottom right-hand corner of the PowerPoint Window. (By the way, in passing, to launch your presentation quickly, simply click on the Presentation view here – or press the F5 key).

We’re now in a position to copy & paste from the one presentation into the other.

If you need to see more slides, simply drag the Zoom slider to the left

Copy the slides

The easiest way to copy a slide across is to click on it, hold down the left hand mouse button &  CTRL key & drag the slide across into position (in this example, again, we’re assuming that we want the “Getting to know Colin” slide in the Research presentation

Clicking on the slide, then holding down the CTRL key whilst you drag the slide across into position copies it into the “Host” presentation. This also then uses the format of the host to format it in line with this (in this example, the yellow top border & white bottom one, together with the Universal logo” (all of which are set in the Slide Master- see here if you need a refresher: https://us4b.co.uk/using-the-slide-master/ ) & the khaki background, Men in the Shed & Manchester Military History Society logos appear

If we want the format of the “Source” presentation to be maintained, we click the format button that appears at the bottom of the inserted slide and select “Keep Source Formatting”

If we want to move the items that are on the new slide, perhaps arranging into a different order or adding or deleting an element, we need to go back into the “Normal” view as noted above.
